Job Title: Application Administrator – Salesforce

Position Summary: This position oversees the administration and maintenance of the Salesforce system for the city. This system is primarily used to manage the development review and permitting function of the city.
Responsibilities include vendor and contract management, process documentation, advanced customer support, system and data security, and related duties integral to the optimization of Salesforce to city needs.
The ideal candidate will bring:
• A customer service and project management focus, with enough technical expertise to resolve minor to moderate issues on their own and to coordinate the resolution of more complex issues with a third-party vendor.
• A curiosity to learn about development review and permitting to the extent necessary to understand business requirements and how they relate to the salesforce system.
Supervision Exercised and Received: Position works under the general direction of the Director of the Strategy & Innovation Office.

Essential Job Functions:
Salesforce Administration
• Serves as the primary project manager and internal technical resource for the maintenance and improvement of the city’s Salesforce software.
• Facilitates relationships both internally and externally to ensure that salesforce needs are identified, prioritized, and implemented.
• Manages the full life cycle of system tickets from identification to solution design and resolution.
• Develops and maintains system functionality documentation.
• Develops an internal knowledge base to help users gain system autonomy.
• Provides advanced support to internal users of the Salesforce system.
• Provides internal and external customer support and service as needed.
• Leads Salesforce system project testing, implementation review, and assists external vendors with configuration, integration, and maintenance as required.
• Leads Salesforce system upgrades, bug fixes, and data cleanup within the tool in coordination with internal users.
• Supports installing, configuring, testing, monitoring and troubleshooting within the Salesforce system.
• Through management of a third-party vendor:
o Responsible for system security: roles, permissions, patches, and upgrades.
o Ensure Salesforce system is functional and compliant with cybersecurity, Personally Identifiable Information (PII), and Payment Card Industry (PCI) compliance and requirements.
• Ensures best practices for cybersecurity, artificial intelligence tools, and technology integration including but not limited to IT departmental policies, access, and upgrades.
• Ensures that data integrity is maintained through the implementation of best practices for data storage, management, and recovery via a backup system.
Process Improvement
• Coordinates and collaborates with city departments and other stakeholders as necessary to ensure consistent and standardized processes and procedures inside the Salesforce system.
• Coordinates between IT Department and Strategy & Innovation Office on system process improvement projects and implementation as needed.
• Other duties as assigned.
General System Support
• Dependent on capacity, provides application support for other city systems including system development, maintenance, security, and upgrades.

Minimum Requirements:
Education: Bachelor’s degree in information technology, business administration, or related field, or equivalent experience.
Experience: Two years of progressively responsible professional experience in computer system and/or network technologies, computer applications, along with system and database administration.
Technical Knowledge: Must be proficient in the following areas: Microsoft Suite, and a thorough understanding of computers and online computer-based technology applications, which includes accessing web-based platforms. Extensive knowledge of computer hardware and software, including cybersecurity, applications, and programming. Specific knowledge of managing database systems.
Licenses & Certifications:
Must possess a valid Colorado Driver’s License or be able to obtain one within 30 days of start date.
NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge and skills as determined by the City of Aspen may be substituted for the requirements above.
NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.
Position Type and Work Hours:
• Regular full time, hours may vary with workload.
• Occasionally, evenings/weekends may be required depending on department needs and special projects.
• Remote work opportunities will be available two days per week in accordance with City policy.
