POSITION:                    GRANT ACCOUNTANT

LOCATION:                   CONTROLLER’S OFFICE

JOB SUMMARY: The Grant Accounting Manager reporting to the Associate Vice President, Finance contributes to the development and effective management of Federal, State, and other grant budgets within the University, including general accounting and financial reporting. Responsibilities also include the design and administration of processes that ensure adherence to requirements of the funding agencies following Federal, State, and institutional grant management guidelines.

 RESPONSIBILITIES:

•          Assist with Pre-award budget development.

•          Request new grant and project account set-ups.

•          Allocate grant funds to appropriate budgets and accounts.

•          Ensure that all financial and/or performance reports are accurate and submitted on a timely basis.

•          Oversee the financial performance of current grants in conjunction with Project Directors.

•          Prepare and submit quarterly Federal Cash Transaction Reports and periodically draw down funds from G5/G6, Sage, HHS Payment Management System (PMS), G Smartlink, NSF Award Cash Management System (ACM$), and other agency payment portals, in accordance with expenditures associated with the reporting performance period.

•          Draw down cash for student loans and perform monthly reconciliation of loan accounts in conjunction with Financial Aid office.

•          Compile data for the University's financial audits as required, including the reconciliation of grant accounts.

•          Compile and prepare the University's Single Audit and all supporting reconciliations.

•           Prepare monthly reconciliation and analysis of grant receivables, deferred revenue, and revenue/expense reports.

•          Meet with each Project Director at least quarterly to review grant expenditures for accuracy and completeness and assist with report preparation as

            needed.

•          Monitor all funded project budgets, along with the Budget Office throughout the year. 

•          Close out each project budget at the end of each fiscal year to reflect zero balances.

•          Monitor and track grant employee payments to ensure that salaries are allocated in accordance with grant awards, in coordination with HR, the            Budget Office and the Project Directors.

•           Other duties as assigned.

EDUCATION: Graduation from an accredited college or university with a bachelor’s degree.

EXPERIENCE: Minimum of (6) six years accounting experience with a major focus in the grants accounting area. Note: applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equal to one (1) year of relevant experience. A bachelor’s degree and (2) two years of professional experience OR a master’s degree and (1) year of experience.

KNOWLEDGE, SKILLS, & ABILITIES:

•           Knowledge of Federal Uniform Guidance relating to grants and Single Audit requirements. 

•           Knowledge of New Jersey State Treasury Circulars preferred.

•           Ability to work independently, manage multiple tasks, and complete ad-hoc projects as assigned by manager. 

•           Candidate must work independently in a fast paced, diverse environment and be knowledgeable about Federal, State, and institutional grant management guidelines. 

•           Knowledgeable of accounting and accounting standards for Federal, State and other grants.

•           Ability to prepare clear, concise and effective business correspondence for both internal and external constituents.
