We are seeking an Administrative Assistant for our Transactions team. The incumbent will be a highly skilled individual who will work closely with legal transactions department personnel, regional business personnel, and outside counsel to complete tasks in connection with transactions related to acquisitions, dispositions, joint ventures, and loans. Essential Duties and Responsibilities:

  • Provide support to the transactions department and handle general administrative tasks as assigned, including:
    • Preparing closing binders.
    • Assisting with transitioning transaction-related materials to asset management, legal, accounting, and all other internal departments post-closing.
    • Assisting with electronic filing (emails and documents), including the creation of file folders and indexes.
    • Collecting due diligence documents, and organizing, posting, and indexing due diligence materials.
    • Circulating email notices and reminders as needed.
    • Helping coordinate title and survey orders.
  • Assist the leasing and operational team with the following:
    • Creating files and folders, including tabbing/indexing documents.
    • Maintaining all legal records, including hard copies and electronic filings of legal documents and emails, and processing files for off-site storage.
  • Participate in a variety of confidential tasks and special projects as assigned. 

Qualifications and Experience:

  • Bachelor’s degree required.
  • At least 2 years of administrative support experience.
  • General understanding of legal administration, project coordination or office filing preferred.
  • Ability to interact with all levels of the organization, including, but not limited to, senior management and outside counsel.
  • Strong technical skills on MS Office and proprietary systems.

The expected base hourly wage range for this position is $33.66 to $34.62 USD hourly, plus annual discretionary bonus. This hourly wage range is an estimate, and the actual hourly wage may vary based on the consideration of many factors, which may include, but are not limited to: the individual’s knowledge, experience, education, qualifications, skills, job location, and the Company’s compensation practices.
