About the role

As an Administration Assistant, you play a vital role in the success of V/Line's Customer Group. 

This opportunity will provide you with valuable insights into Victorian Rail and jump-start your rail career. 

As the Administration Assistant at Seymour Station, you will work closely with the Regional Manager (RM) to ensure the smooth functioning of the North-East team by handling daily administrative tasks and assisting the leadership team with reporting and other administrative duties. 

Your role extends beyond administration—you’ll actively participate in brainstorming sessions, take initiative, and thrive in a process-driven environment. 

Your organisational skills will be crucial in optimising the RM’s schedule. From coordinating meetings to managing appointments, you play a key role in keeping things running smoothly. 

Key Accountabilities include:

  • Organising Regional Manager's calendar
  • Stationery management and supply
  • Liaising with front-line staff, organising uniforms and PPE
  • Prepare documents and presentations using the MS Office Suite
  • Data input and management for various performance spreadsheets
  • Coordinate and process purchase orders to meet current procurement requirements
  • Coordinate team meetings and capture meeting discussions, action items, and decisions
  • Co-organise events and activities, including catering, venue bookings and accommodation arrangements
  • Coordinate and book Medicals including the completion of the relevant paperwork 

About you

From managing uniform orders to meticulously following purchase procedures, you’re process-driven and detail-oriented. 

Our ideal candidate will possess the following:

  • Year 10 or equivalent
  • Certificate III in Business/Office Administration (or equivalent)
  • Strong proficiency in Microsoft Office Suite
  • Current Driver’s License
  • Experience with purchase orders
  • Excellent attention to detail
  • Willingness to learn
  • Demonstrated alignment to V/Line’s values of responsiveness, integrity, impartiality, accountability, respect, leadership and human rights 

Highly Regarded:

  • Previous management experience
  • Experience using SharePoint
  • Event organisation

Remuneration for this position will be a TRP (total remuneration package) of $88,136 inclusive of super + 4 weeks annual leave in line with the V/Line Rail Operations and Administrative Employees Agreement 2023. Current employees are expected to remain in their role for a minimum of 12 months before applying to new positions within V/Line.
