Description

The Project Administrative Assistant will provide a wide variety of administrative and office support to Senior Leadership, team members, and customers. The Project Administrative Assistant will serve as the first point of contact to guests and customers, and will provide administrative support, such as: organizing the office documentation and mailing, typing / word processing of documents and coordinating meetings. This is a fast-paced working environment that requires the ability to multitask with attention to detail, excellent organizational skills, and the ability to manage relationships with a variety of stakeholders. 

Primary Responsibilities:                

  • Greets, directs, and assists clients, vendors, and any other visitors in a highly professional and friendly manner.
  • Using existing charts & graphs, prepare metrics presentations using Microsoft Office. Basic Excel formatting may be required.
  • Validate and provide feedback on written documents.
  • Creates / prepares meeting materials (e.g., PowerPoint deck; agendas) and ensures distribution to appropriate individuals in a timely manner    
  • Coordinates meetings and conference calls as needed or anticipated
  • Tracks, maintains, and assists with metrics / metrics reports, finding any discrepancies in data
  • Develops and compiles reports for a variety of audiences
  • Records minutes at various meetings and archives them accordingly
  • Performs all other related duties as assigned

Required Qualifications:                 

  • Excellent organizational and communications skills required 
  • Must be able to maintain professionalism and a positive attitude at all times 
  • Must be proficient in MS Word, Excel, Outlook, and PowerPoint.
  • Experience working in a fast-paced organizational environment
  • Ability to manage multiple tasks / projects and deadlines simultaneously with meticulous attention to detail
  • Must be able to work independently and in a team environment​​​
  • Excellent oral and written communications skills required
  • Must be able to work on site in the DC office
