BA-ZAI is seeking qualified candidates to fill a Documentation and Reports Analyst position on our contract with the Bureau of Alcohol, Tobacco, Firearms, and Explosives (ATF) in Martinsburg, WV.  This assignment will be in the National Firearms Act Division (NFA).  This is an exempt position which may require varied hours, but the selected candidate's primary 8-hour schedule will be on first shift, between the core hours of 7:00AM and 5:00PM, M-F.

Position Overview

The Documentation and Reports Analyst is responsible for recording and documenting the technical aspects and workflow of the National Firearms Act Division (NFA) and Firearms and Explosives Services Division (FESD).  This candidate will be required to assist with the creation, distribution, and maintenance of all Division documentation for ensuring quality performance and ISO 9000 compliance.  Additionally, the selected candidate will be required to map process workflows and produce statistical reports.

Position Duties

This position will support the program by:

  • Creating, distributing, and maintaining all Division documentation. Responsible for creating and maintaining a standard (ISO style) format, and tracking official revisions to formal procedures, Standard Operating Procedures (SOPs), Work Instructions, and Process Guides.
  • Performing ISO type audits to maintain version control.
  • Routing pending changes through the document control/approval change process to publish an approved document for the end users. 
  • Reporting project statistics (workloads, quality, and productivity).
  • Preparing operational progress or status reports.
  • Reviewing and updating SOPs, training manuals, process guides, work instructions, directives, FAQs, and quality assurance manuals, interviewing other staff as necessary to determine current procedures.
  • Working on special projects as assigned.
  • Creating ad hoc reports as requested.

Requirements

Internal applicants must submit an approved Eligibility Statement (meeting current performance standards including Production and Accuracy goals, attendance, and behaviors).

To be considered, the applicant should have:

  • Documented experience and understanding of ISO policies and procedures.
  • Experience in communication, both written and verbal, with various audience levels.
  • Ability to illustrate information in the form of a flowchart or diagram.
  • Experience in documenting procedures and mapping workflows.
  • Ability to adapt to new technologies and practices as required by the task.
  • Willingness to assume new tasks and/or roles as warranted.
  • Ability to identify and report facts to clearly communicate pertinent information.
  • Proven ability to create meaningful reports.
  • Demonstrated proficiency in Microsoft Office Production (Excel, Word, Visio, Power Point, etc.)
  • Ability to frequently lift up to 40 pounds
  • Ability to perform frequent repetitive motions using fingers, hands, wrists, and arms

 

Education / Experience

  • High school diploma or general education degree (GED) is required; bachelor’s degree preferred
  • Experience with Microsoft Power Business Intelligence preferred

Additional Duties

  • This position may require performing some training of same or lower-level contract staff. Special customer requests for training should be made to ATF and contract management for consideration.
  • Duties as assigned by Supervisor; please be aware that in order to meet contract requirements, all employees may be directed to assist in other same-category tasks.
