In order to support the United States Coast Guard Recruiting Command (CGRC) Recruiting Office Administration Support projects located throughout the U.S., Zimmerman Associates Inc. (ZAI) is seeking qualified candidates for the position of Data Entry Operation Specialist II. A qualified candidate will assist the United States Coast Guard Recruiting Offices with day-to-day recruiting operations.

Job Description:

  • Receiving, directing, tracking, and reporting incoming telephone calls
  • Developing and maintaining the recruiting office schedule using Microsoft Outlook or the appropriate enterprise application
  • Drafting, organizing, and tracking routine correspondence in accordance with USCG policies
  • Maintaining the reference library of the Recruiting Office
  • Maintaining the unit's correspondence files
  • Place, track, and report the status of purchase requests for recruiting office supplies
  • Maintaining a file management system that complies with federal, USCG, and unit policies under the guidance of the Recruiter in Charge (RIC)
  • Tracking and reporting compliance with office policies and procedures
  • Managing and executing office mailings
  • Providing assistance to more senior positions and/or performing functional duties under the supervision of more senior positions
  • Assist in the completion, routing, tracking, and reporting of Local Marketing Support Forms and approvals
  • Processing, tracking, and reporting the status of candidates' background investigations per references, including but not limited to the I-9, Employment Eligibility Verification forms, and the electronic questionnaire for investigation process (eQIP),
  • The scheduling of the Armed Services Vocational Aptitude Battery (ASVAB) testing and appointments for MEPS
  • Booking travel arrangements for candidates in accordance with policy
  • Drafting, submitting, tracking, and reporting waiver packages
  • Monitor Outlook distribution groups and shared mailboxes by managing Microsoft Outlook calendars
  • Developing, updating, and maintaining the Recruiting Office Microsoft TEAMS site(s) in accordance with the Recruitment Information Center's guidelines
  • Organizing and sharing filing documents on Microsoft Teams

 

Job Qualifications/Requirements:

 

  • Associate's degree in a related field (the education requirement may be waived if the relevant experience is directly related to government experience).
  • Proficiency in Microsoft Office 365 (SharePoint, Word, Excel, PowerPoint).
  • Three (3) years of experience in clerical and administrative duties with exceptional organizational skills
  • Ability to work effectively in a team environment.
  • Spanish fluency and proficiency are preferred.
  • Experience with the U.S. Coast Guard is preferred.
  • Communication skills that are effective both orally and in writing.
