 ESSENTIAL DUTIES AND RESPONSIBILITIES:         

The Administrative Assistant will provide administrative and clerical support to the Inspectional Services Department. Under the supervision of management staff, the specific duties of the position include but are not limited to the following:

  •          Performs, according to standard office procedures, a variety of administrative support duties requiring knowledge of the functions of the department
  •          Help customers and members pf the public by phone, at the counter or in the lobby with general inquiries and with completing online permit applications
  •          Works with legal counsel to submit complaint cases for court proceedings, working on documentation as required; maintains accurate and professional files for active court cases
  •          Perform data entry or administrative processing of permit types that may be assigned, examines documents for correctness
  •          Assist ISD staff with troubleshooting logistical or administrative issues
  •          Monitor online applications and permits/licenses, run reports as requested
  •          Assist with answering telephones and directing inquiries to appropriate parties
  •          Maintain databases and accurate and professional files for the department
  •          Coordinate complaints and inspection requests with other ISD divisions as necessary
  •          Ensure all complaints received by the division are properly monitored and closed out
  •          Initiate routine correspondence of the division and after receiving general direction from the commissioner/assistant commissioner/senior code enforcement inspector, develops drafts for non-routine correspondence.
  •          Sort mail and incoming correspondence
  •          Performs special duties or analysis as required

MINIMUM REQUIREMENTS:

  •          High school diploma or equivalent
  •          Ability to learn new technologies and systems, new software
  •          Ability to set priorities and to work independently and efficiently to manage individual responsibilities
  •          Ability to manage multiple responsibilities and tasks simultaneously, and interactions in a fast-paced office environment while remaining attentive to accuracy of work
  •          Superior customer service skills, excellent written and oral communication skills, excellent organizational and time management skills; strong computer skills including demonstrated proficiency with essential software (Microsoft Office Suite, Zoom, etc.)
  •          Ability to communicate with a diverse range of Department staff, other City employees, and members of the public in a courteous and professional manner

PHYSICAL DEMANDS/WORK ENVIRONMENT:  Office environment with air-conditioning and fluorescent lighting. Ability to access, input and retrieve information from a computer.  Position may be eligible for hybrid work under the City’s Telework Policy, depending on operational needs.
