Position Overview
The Floater Team Assistant will deliver comprehensive administrative support across various groups, including Investment Directors, Associates, and department staff. This role involves providing coverage for teams as needed, as assigned by the Director of Administrative Services or Administrative Manager. Key responsibilities include managing calendars, coordinating meetings, processing travel and expenses, and performing various other administrative tasks. Flexibility is essential, as the role requires adapting to support different teams as required.
Principal Duties
· Provide administrative support to Investment Directors and the Investment Team:
o Create and maintain Box files for the team.
o Schedule conference rooms and provide support for internal and external meetings in Outlook and in person.
o Serve as a virtual support resource for MS Teams, Webex, and Zoom as needed on behalf of the Investment Team.
o Monitor MS Teams channels for team requests.
o Conduct research via CA Home and the Internet.
o Schedule manager meetings, coordinating with meeting planners.
o Arrange travel using a travel agency and Neo (online travel booking tool).
o Prepare and reconcile timesheets, expense reports, and Amex statements.
o Retrieve manager comments, quarterly letters, and factsheets for the Investment Team as needed.
o Maintain Microsoft Dynamics CRM Client Contacts for the Investment Team.
o Organize and manage Investment Directors’ calendars and business contacts in Outlook.
o Prepare meeting materials as requested by the Investment Team.
· Collaborate with the Catering Manager or Workplace Operations support team to support client and team meetings onsite.
· Prepare FedEx labels for the shipment of print production deliverables.

Qualifications
· 2 or more years of administrative or related experience.
· Proficiency in MS Word, Excel, PowerPoint, and Outlook is required.
· Knowledge of Box, Neo, MS Dynamics, MS Teams, Oracle, and Webex is a plus.
· Ability to multi-task and prioritize multiple requests.
· Excellent organizational skills and attention to detail.
· Strong verbal, written, and listening skills.
· Must be able to maintain a high degree of confidentiality.
· Ability to communicate effectively across offices, with clients, and other CA departments, and must be able to interact effectively in a service-oriented environment.
