Position Summary:

The Administrative Support Supervisor is responsible for supervising the activities of support level personnel within an assigned department or program. This position is governed by state and federal laws and institution policy

Duties & Responsibilities:

  • Supervise Customer Service staff which may include a number of work-study students
  • Research and Statistics: Evaluates and produce statistical data for all programs
  • Manage: Monitor and respond to a departments email account(s)
  • Outreach: Support cross departmental outreach to facilitate student understanding of financial aid and scholarships through multiple channels which may include social media / events
  • Responsible:  For the department’s phone system, assist with incoming calls, and facilitate availability throughout the department. Ensuring that their coverage for front-line services and assistance as needed depending on that coverage
  • Customer Service Representative:  Provides assistance and other resources to potential and current students, parents, staff, faculty, off-campus agencies, and high school counselors
  • Processing: Scan and index financial aid documents as well as maintain security for all scanned documents that contain personally identifiable information
  • Training: Train and coordinate training needs that are required within the duties of this position
  • Administrative: Work closely with the leadership team to ensure and maintain current processes and practices that are meeting the needs of the department
  • Processing: Incoming and outgoing mail for the department
  • Perform other duties as required

Knowledge/Skills/Abilities:

Knowledge of student financial aid programs, standards, and procedures
Knowledge of operating procedures for technical equipment standard within the job
Knowledge of department operations, policies, and procedures
Knowledge of applicable laws and regulations
Knowledge of computers and software applications
Knowledge of basic accounting principles

Excellent communication skills
Experience with Microsoft Office Products

Ability to review and evaluate student financial needs
Ability to maintain records
Ability to supervise employees
Ability to conduct research and perform basic quantitative quality assurance reviews
Ability to resolve operational problems
Ability to research, prepare, and present comprehensive written and oral reports to the supervisor

Familiarity with SCT Banner Products

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Some travel required for training and/or conferences
Regular and reliable attendance

Minimum Qualifications:

The formal education of a High School Diploma

Other job related education and/or experience may be substituted for all or parts of these basic requirements upon approval of the qualifications review committee
