Position Summary:

The Administrative Specialist III serves as support staff for the Office of the Dean of the Graduate School. The successful applicant will be responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. The position is governed by state and federal laws and agency/institution policy.

Duties & Responsibilities:

  • Attending the front office, greeting and directing visitors, screening calls, responding to routine questions regarding policy and procedures, providing instructions on form completion, or making referrals as needed.
  • Ensuring that all mail and email is checked daily, opened, date stamped, answered (if possible), and handed or forwarded to the appropriate team member.
  • Maintaining computerized and paper files, records, and logs, and retrieving information as needed for reference or to compile reports.
  • Managing calendars and appointments for the Dean, Associate Dean, and Associate Vice Chancellor of Assessment.
  • Assisting with the composition, typing, and editing of various documents including letters, memoranda, and bulk mailing from rough drafts.
  • Preparing documents in support of periodic business meetings.
  • The above duties are not all inclusive and include other related duties as assigned

Knowledge/Skills/Abilities:

Must be proficient in Microsoft 365 and Office Suites software.

Effective and congenial communication (both oral and written)

Positive team member exhibiting creative initiative and critical thinking.

Ability to organize, establish and maintain filing systems, and multi-task.

Knowledge of university operations, policies, and procedures.

Ability to handle confidential information.

Familiarity with university software systems such as Banner, Taleo and Concur is preferred (but not required)

General office management skills.

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

Minimum Qualifications:

The formal education equivalent of a High School Diploma.

One (1) years of experience in a specialized or related area applicable to work performed.

Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
