SUMMARY:

The following is a brief description of responsibilities to be performed by the Human Resources Assistant. Job responsibilities include, but are not limited to the following:

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Compliance Support

·         Assist with Legal Posters for Stores and RSC

o    Support Compliance Specialist by tracking incoming posters and ensuring all required posters are accurately received and mailed out on time

o    Partner with Store Operations team to communicate poster requirements and updates to stores

o    Track poster completion and follow up with stores that have not confirmed posting

·         Assist with Foundry training administration, including tracking completion and sending reminders to employees and department leaders

·         Manages the New Hire Reporting (IN Minors Report biweekly through state portal and Update CA Disaster Log weekly)

·         Lead the management of I-9 and E-Verify records, driving compliance and completeness through proactive follow-up and resolution of issues

 

Onboarding/Offboarding

·         Assist with new hire orientation and onboarding process

·         Conduct pre-employment background screening interviews

·         Supports managers with preboarding tasks by setting up workstations with necessary equipment and supplies, ensuring everything is ready for new hires' first day and fostering a welcoming, clean and organized environment

·         Conduct 90-day check-ins with new hires and send feedback to appropriate team members

·         Prepares documentation for employee status changes and payroll requests (internal promotions, transfers, new hires, relocations, check requests)

·         Processing Daily Separations and partnering the HR Generalists and Payroll on discrepancies and issues requiring follow-up

·         Assists with exit interviews, and employee offboarding by ensuring all personal items are collected or removed and the workstation is restored to a clean, functional state for future use

 

General HR

·         Assist employees with general employment, policy, procedure, and benefit related questions

·         Assist HR Generalists with employee relations issues and investigations

o    Gathering employee details, general facts, and supporting documentation

·         Unemployment management

o    Drafting correspondence and gathering separation details

o    Responding to unemployment claims (documents and calls) in a timely manner

o    Partnering with HR Generalists for response and participation in unemployment hearings

·         Preserve company records by managing paperwork and employment files effectively

o    Create and/or update employment files and paperwork

o    Appropriately file incoming paperwork and employment files

o    Quickly retrieve documents and paperwork when requested (file reviews, subpoenas, and record requests)

o    Maintain the organization of the filing system in compliance with the retention policy

·         Audit RSC/DC personnel files for accuracy and completion

·         Front Desk / Receptionist breaks and coverage

·         Assist with planning and execution of wellness and employee engagement events

·         Special projects and other duties as assigned

 

QUALIFICATION REQUIREMENTS:

·         Must be organized and detail oriented

·         Proficient in the use of Excel, MS Word and Outlook, experience with HRIS systems is a plus

·         Ability to effectively use common office equipment

·         Working knowledge of corporate retail environment preferred

·         Ability to prioritize projects frequently

·         Strong written and verbal communication skills, including phone etiquette skills

·         Strong analytical skills, documentation skills, and people skills are a must

·         Must possess a serious understanding of confidentiality and data protection.

·         Basic knowledge of HR processes and employment practices

·         Ability to work in a fast paced, deadline-oriented environment

·         Must be able to fulfill all essential duties and responsibilities listed above

 

EDUCATION and/or EXPERIENCE:

·         High School Diploma required

·         1–2 years of HR support experience preferred (retail or multi-location environment a plus)

Compensation:

  • Hourly Range: $20 - $23/HR 

  • Final offer will be based on experience, skills, and qualifications.
