Provides administrative and secretarial support, with a high level of accuracy to the Vice President of Planning and departmental management team as well as departmental staff. This individual will handle confidential information with discretion and operate with latitude for independent judgment and initiative. This role will analyze office procedures and processes and develop and implement plans to improve overall effectiveness.


Job Duties:

  • Provide confidential administrative support for the Vice President of Planning and departmental management team with delegated responsibility.

    Duties include, but are not limited to:

    • ​Calendar management and coordination of internal/external meetings.

    • Develop and deliver member-level communication on behalf of VP and departmental management staff.

    • Coordinate the review and updates of department’s Business Continuity Plan.

    • Support departmental budget process and tracking actuals and variances throughout the year.

  • ​Provide administrative support as needed for overall Planning Department. Duties include, but are not limited to:

    • Update and maintain departmental SharePoint site.

    • Maintain office supplies and printer/copier functions.

    • Assistance with team deadlines, as well as tracking time sensitive items and creating reminders.

    • Maintain distribution lists used in member-level communication.

    • Assist with the organization and printing of materials for various presentations.

    • Assist staff with obtaining technical support or facility service requests.

    • Process invoices, expense reports and setup contract as required.

    • Data entry to support monthly legal invoice analysis.

    • Organize departmental functions.

  • ​Provide backup support for other departmental staff assistants as needed. Duties include, but are not limited to:

    • Participate/support special projects and corporate functions

    • Assist with ordering supplies and or reporting any maintenance needed in shared or common areas​.

  • ​Provide administrative guidance to associates concerning the OPC Associate Handbook and procedures, assuring compliance with corporate standards.

  • Assist the VP in tracking action items assigned by the CEO, CFO or those self-imposed to ensure proper closure.

  • Special projects as directed.

Required Qualifications:

Education: Associate Business Degree, Secretarial Degree or Certified Professional Secretary (CPS) rating

Experience: Six years secretarial and administrative experience and a general knowledge of management.

Equivalent Experience: High School with ten years secretarial and administrative experience. (This is total education and experience required)

Knowledge, Skills and Abilities:

  • Strong verbal and written communication skills.

  • Excellent organization and time management skills with ability to work independently.

  • Proficient Computer and Microsoft Office skills (Word, Excel, Outlook, PowerPoint.)

  • Detail oriented Strong and professional customer service skills.

Licenses, Certifications and/or Registrations: Certified Professional Secretary (CPS) rating is desired.
